Checking Your Federal Refund Status: A Guide for Montana Taxpayers

At our firm, we often discuss the "three-legged stool" of business stability: accurate books, optimized taxes, and timely payroll. When that middle leg—tax optimization—results in a refund, it represents vital cash flow for your business or personal finances. Whether you represent a service-based business here in Billings or are a subcontractor working across Montana, knowing when those funds will arrive is essential for planning.

As part of an effort to increase security and efficiency, the IRS has largely moved away from paper checks. Electronic transfers are now the standard, significantly reducing the risk of mail theft and speeding up the time it takes for money to hit your bank account. For those without traditional banking, prepaid debit card options are also available.

Using the "Where’s My Refund?" Tool

Once we have filed your return, the waiting game begins. Fortunately, you don't have to guess. The IRS provides an interactive tool called Where’s My Refund? which offers the most current information available.

If you e-filed (which typically results in a refund within 21 days for 9 out of 10 taxpayers), you can check your status 24 hours after the IRS acknowledges receipt. If you filed a paper return, you will unfortunately need to wait four weeks before tracking is available.

Required Information for Access

To maintain security, the system requires specific data points found on your copy of the federal tax return. You will need to enter:

  • Your Social Security Number (or ITIN),

  • The specific tax year (2025, 2024, or 2023),

  • Your filing status (e.g., Single, Married Filing Jointly, Head of Household), and

  • The exact whole-dollar refund amount shown on your return.

Understanding Your Status

Once logged in, the tool tracks your refund through three stages:

  1. Return Received: The IRS has your return and is processing it.

  2. Refund Approved: Processing is complete, and a deposit date is scheduled.

  3. Refund Sent: The money is on its way to your bank. Please allow up to 5 days for your bank to post the funds.

Accessibility and Mobile Options

The IRS ensures these tools work for everyone. Where’s My Refund? is compatible with the Job Access with Speech screen reader for visually impaired taxpayers. Alternatively, you can use the IRS2Go mobile app, available for both Apple and Android, to track your refund from your smartphone.

When to Call for Help

We believe in simplicity and honesty. The truth is, calling the IRS is rarely necessary unless the online tool specifically directs you to do so. The system updates once every 24 hours—usually overnight—so checking once a day is sufficient.

However, if the tool indicates a delay of more than 28 days from your mailing date, or if you encounter specific error messages, please contact our office. We are here to help you navigate these hurdles so you can get back to business.
