Wanted: Office Administrative Staff:

Tax911.com, Inc. is a CPA firm that prepares tax returns. We offer a professional work environment. Our clients are Americans who live and work in 100 different countries as international teachers, clergy, relief workers and business owners. The main task of the administrative staff is to organize the tax file, enter the electronic tax documents and review the file for completeness. This includes emailing the clients, scanning tax documents, inputting the tax forms and answering the phone. Administrative staff do not prepare tax returns, but they do enter the most common tax documents. Our office is primarily a paperless work environment. Over 95% of our clients use an online tax organizer and less than five clients walk into our office each year.

Experience in a CPA office is not required. Writing skills are essential; our communication with overseas clients is primarily through email and secure messages. A desire to learn, interpersonal skills, being detail oriented and professionalism are also important. Successful candidates are comfortable using Word, Outlook and Excel and are capable of learning new computer programs. Preference will be given to those with experience using Thomson Reuters products including UltraTax, or experience in a financial services firm such as an insurance or financial advisor's office.

The administrative assistant will work 40 hours a week during the January-April peak tax season, then 20 to 40 hours until October 15th. There is potential for reduced hours after October 15th. We are especially interested in those who can return each year. Starting salary is $17/hour.

The firm is located near Santa Fe and I-35 in Olathe, KS.

Our clients work and live in 100 different countries as international teachers, clergy, relief workers and business owners. We are currently seeking a split role receptionist and administrative assistant to help us fulfill our mission of providing exceptional client service. The ideal candidate is an extremely detail-oriented and personable multitasker with stellar verbal and written communication skills, as well as a high social IQ, who has experience as a receptionist and administrative assistant in an office setting, and availability to work weekday afternoons.

We’re looking for an enthusiastic professional to perform reception and administrative assistant work. Salary starts at $18/hour. The administrative assistant will work 40 hours a week during the January-April peak tax season, then 20 to 40 hours until October 15th. There is potential for reduced hours after October 15th. Responsibilities

  • Operate a multi-line IP phone system to answer and direct phone calls; greeting visitors in a friendly manner; receiving, sorting and sending mail and deliveries; sending and responding to emails and messages; managing printing, faxing, scanning, copying, and binding

  • Generate a positive impression of our business by welcoming visitors, responding to requests, supporting coworkers, and maintaining a tidy work area

  • Oversee standard office equipment and supplies (such as printer, scanner, fax machine, binding machine, postage, toner, and paper), and report any malfunctions to the appropriate person

  • Update record-keeping system for contacts and files as needed

  • Recognize issues requiring immediate attention, and communicate to leadership as needed

  • Organize client documents and information

  • Data entry

  • Review files for missing information

  • Support other departments as needed

Required skills and qualifications:

  • Experience as a receptionist and administrative assistant

  • Excellent written and verbal communication skills

  • Ability to multitask and manage time effectively
